The government export department usually has the schedule and location of worldwide exhibitions. It is often necessary to contact the fair organizer at least one year ahead for information. The exhibitor's <nobr>kit---</nobr>containing the space reservation form \(the contract\), floor plan, schedule of fees and charges \(for the booth space, table, chair, rack, plants, ...\), shipping instructions, hotel reservation form, and rules and <nobr>regulations---</nobr>is supplied to the interested exhibitor on request. The organizer usually requires advance reservations in a major fair.")

It is important to know the past fair statistics, such as the total number of booths, number of visitors and from how many countries, and whether the figure \(trend\) is growing or declining. The intended layout \(design\) of a booth also influences its size. It is necessary to have ample space within the booth for business discussions.")

A basic booth is usually provided with a table, a chair and booth partition, either a curtain or metal and wood, to separate it from the next booth. Additional tables and chairs may be rented. The exhibitor should consider the handling, shipping, setup, and return shipment in designing a booth.</p></dd><br><br><br>")

A written confirmation is sent to the exhibitor if the selected space is still available. Otherwise, a re-selection is required. In major international fairs, the best spots are usually reserved in advance by the regular long-time exhibitors. The best spot is the area with highest foot traffic, such as near the main entrance, at the main building \(instead of annex building\), at the ground floor \(instead of basement, mezzanine or upper floor\), and close to an escalator.")

One spot that may not be clearly indicated in a floor plan is the drive-in door, which is intended for trucks and forklifts. A fair ground may have more than one drive-in door. During the show the drive-in door may not be conspicuous to visitors as it is concealed with a curtain or hidden by booths.</p>")

Usually the drive-in door closes a day before the show date, meaning you have to wait until the materials and products of other exhibitors have entered the exhibit ground. The pressure is immense to get everything ready for the show next day.
